This policy explains what personal information BrainoMate collects from parents and students, how we use it, and the choices you have. Our classes are for children, but the website and enrolment forms are used by the parent or guardian, and this policy is written for you.
1. Information we collect
When you enquire or enrol, we collect:
- Student's first and last name, age or grade
- The enrolling parent or guardian's email and phone number
- Course, level and batch selected, and payment amount and status (payment card and bank details are handled directly by our payment gateway; we do not store them)
- Class attendance, practice activity and test scores recorded in the BrainoMate app, used to build weekly parent reports
- Basic technical information from your browser (such as pages visited) when you use the website
2. How we use it
We use this information to:
- Schedule classes, run the batch, and send the Google Meet link and reminders
- Track a student's progress and generate the weekly report shown to parents
- Process payment and send receipts and certificates
- Respond to enquiries and support requests
- Send updates about the course the child is enrolled in, and occasional information about other BrainoMate programs, which you can opt out of at any time
We do not call unnecessarily or send unsolicited marketing beyond the above, and we do not sell your information.
3. Who we share it with
We share information only where needed to run the service: our payment gateway to process fees, Google Meet to host live classes, and our email or messaging provider to send class links and reports. We do not sell or rent personal information to third parties for their own marketing.
4. Cookies and analytics
Our website uses basic cookies and analytics to understand how pages are used and to keep the site working correctly. You can disable cookies in your browser, though some parts of the site may work less well.
5. Data security
We take reasonable technical and organisational measures to protect the information you share with us. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but access to student and parent records is limited to staff who need it to run the course.
6. Children's privacy
Our courses are for children aged 6 to 14, but accounts are created and controlled by a parent or guardian, who provides the information above on the child's behalf. We do not knowingly collect information directly from a child without a parent having enrolled them, and we do not market directly to children.
7. Your choices and rights
You can ask us to access, correct, or delete your child's information, or to stop receiving marketing messages, by emailing us. We retain enrolment and progress records for as long as needed to provide the course and to meet our accounting and legal obligations, and delete them on request once that need has ended.
8. Changes to this policy
We may update this policy from time to time; the current version is always posted on this page with its last updated date.
